Office Manager

The Office Manager of the American Civil Liberties Union of Wisconsin is responsible for the sound management of all day-to-day administrative operations. This includes managing and providing support for all fiscal operations, general office needs, and human resources for this 13 person team.  

This position is a regular non-exempt position. The Office Manager reports to the Finance and Administration Manager and works cooperatively with staff to ensure the success of the organization’s stated missions.

Primary Tasks & Responsibilities

Implement the daily fiscal management of the office including:

  1. Collecting, recording, coding, and processing of income & expenditures, including memberships to National ACLU;
  2. Coordinating accounts payable systems and verifying charges to departments and programs;
  3. Following the ACLU's internal controls and financial policies;
  4. Preparing financial documents and records for external CPA annual audit process in conjunction with Finance and Administration Manager;

Provide organizational Human Resources support by:

  1. Administering all payroll functions, including processing payroll monthly and working National HR to ensure accurate reporting for all employees; 
  2. Developing and maintaining organizational records;
  3. Managing and implementing daily personnel matters including benefits administration, leave tracking, and time sheets;

Provide consistency and structural support to the general office environment by:

  1. Answering the office phone in a professional and helpful manner, retrieving telephone and e-mail messages forwarded to the ACLU of Wisconsin's general information number and address, and ensuring assistance to the general public including forwarding messages to appropriate staff;
  2. Supervising general office maintenance;
  3. Maintaining contracts for office equipment and services;
  4. Supervising the procurement, maintenance and distribution of office equipment, and office supplies;
  5. Providing logistical support for Board meetings (reserving meeting rooms, ordering food, etc.);
  6. Understanding and following internal ACLU policies and procedures, including the employee handbook;
  7. Assisting with administrative projects and tasks as needed.


Job Requirements

A Bachelor’s Degree is preferred to demonstrate a basic level of skills in such areas as bookkeeping, accounting, and human resource management.  To qualify for this position, an individual needs a minimum of three years of previous administrative experience, preferably in a nonprofit setting.



  • A demonstrated understanding of and commitment to civil liberties and civil rights;
  • Excellent organizational, interpersonal, verbal and written communications;
  • Proficiency with computers, including experience with QuickBooks, Word, and Excel.
  • Familiarity with databases is required.

Skills and Abilities

  • Detail-oriented and capable of managing a number of responsibilities simultaneously;
  • Ability to work both independently and in a team environment;
  • Ability to work with a diverse community of ACLU staff, leadership, membership, allies, and clients;
  • Strong organizational skills as well as people skills are necessary;
  • Excellent oral and written communication skills are required;
  • Ability to develop effective organizational strategies and remain flexible to change is critical;
  • Proficiency in Spanish is preferred.


Compensation is $15/hour.  Benefits include paid vacation and sick leave, medical and dental coverage for staff members, life insurance, short and long term disability insurance; and an optional 401(K).
